October 1st Meeting Minutes

When: October 1st 2015

Where: Tin Lizzy’s (Augusta) – We met at the restaurant, had some social time while everyone was arriving, then ordered, most had finished eating when Tom called the meeting to order.

Who: Donald and Kay Boltz, Kurt Breitinger, Mike and Shirley Dyer, Larry and Rita Garner, Dennis and Karol Mason, Robert McCorkell, John and Jackie Nicholls, Hal and Trudy Scott, Bob and Pat Tarrant, Tom Varallo, Richard and Evelyn Whitehurst, Rudy and Patty Wilmoth, Dave and Sue Woomer, and new members Ralf and Annie Wilms.

Treasurer’s Report: Started at $1661.47 plus $84.00 in income from dues and pin sales, for a total of $1745.47.

Old Business:
• New members please see Dennis Mason for name tags, or replacement name tags.
• Larry Garner has contact cards for the Miata club (hand these to people who have Miata’s but are not club members).
• Tom Varallo has new pins available for $3.00 ea (look very nice) and ‘Support Vehicle’ magnets for $25.00 per pair.

New Business:
• Thanks to Mike and Shirley Dyer for coordinating this dinner. A nice place – we had a separate room for our meeting and the food and service was very good.
• Welcome to new members; Ralf and Annie Wilms!
• Tom proposed a change to bylaws, to take effect 1 July 2016, to provide club members an e-mail notice in May that dues will be payable in July, then another on 1 June. On 1 August an e-mail notice will be sent saying dues are delinquent, and on 1 September a final notification will be sent that the membership is no longer active.
o Dennis remarked that he thought that was a reasonable policy but recommends everyone make sure their e-mail address is accurate.
o Kurt proposed rather than a first notice in May, that two notices be sent in June.
o Tom’s concern is that if folks are out of town for the summer then they won’t receive the notice early enough and May would give plenty of notice.
o Rudy proposed that the due date be moved to 1 Jan.
o We started to take a vote before it was pointed out that we needed a quorum to change the bylaws. Since our membership is based on a couple (the couple pays one membership dues of $10.00) then each couple should have only one vote. According to the secretary’s roster we have 43 memberships, so with 14 memberships present, we didn’t have a quorum. Therefore, an email will be sent for each membership to vote. Please place your vote in a timely manner when you receive an email on this matter from Tom. Thank you!
• With three options for the Christmas Party, we needed to decide which option we preferred:
1 – Dyers recommend Newberry Hall in Aiken. It would cost $250 for the hall rental (for four hours). It’s a large hall and we would have room to dance if we wanted to. We could pick from several menu items and it would cost $17 to $25 per person.
2 – Tom proposed Trio’s restaurant in Aiken. They have a private room that doesn’t cost anything to use. We could order from the menu or pick a few items that everyone would order.
3 – Gail and Miller Butler would be willing to host either at their home or at the Masonic Lodge. It would cost a small fee if it was held at the Masonic Lodge. The club would provide the meat and members would bring side dishes.
o The majority voted for Christmas hosted by Gail and Miller.
o A date will have to be arranged relatively quickly – Jackie will talk to the Butlers.
• Discussion was held about Saturday Breakfast start time. Some members didn’t want breakfast to start before 0800. The majority voted in agreement. Breakfast proposed start times won’t be before 0800. This new policy will begin starting with November’s breakfast since Octobers breakfast has already been arranged.

The following events have been planned or are anticipated:
• Another Red Oak Manor Iron Chef competition will be held tomorrow, 2 October. Please contact Tom Varallo if you would be interested in attending.
• There is a Cars & Coffee event held every first Saturday in the Carolina Pottery shopping center on Washington Rd. It’s from 8-11 am. Bring your car to show it off! Or come out to see the unusual cars. Next one is October 3rd.
• Oct 17th – Hal and Trudy have planned breakfast at Evans Diner. See the website for details.
• Boshears Fly In is October 16th & 17th
• Nov 5th dinner meeting will be hosted by Andy Jones Mazda on Washington Rd. & Flowing Wells in Martinez (thanks to Jill and Alan Johnson for coordinating). Dinner will be provided by Andy Jones and there will be door prizes provided by Moss Miata and possibly a special guest.
• Nov 6th to 8th – Deals Gap weekend sponsored by Brian and Donna Borgardus. See website for details.
• Nov 21st – Tom will plan the breakfast
• Dec Christmas Party – See above notes.
• Dec 18th – Imperial Theater is doing a concert and ‘Asleep at the Wheel’ may be playing. There are still good tickets available if you are interested.
